Booking Terms and Conditions

Throughout these terms and conditions, “Participant” refers to any presenter, exhibitor or delegate who is attending the Tactile Graphics 2008 conference.

1. By submitting a booking form you are formally agreeing to the terms and conditions set out below. You are also agreeing that you wish to attend the Tactile Graphics 2008 conference on the dates you have selected and are agreeing to be invoiced for, and ensure payment of all selected conference fees within 30 days of the invoice date.

2. RNIB reserves the right to refuse registration and entry at Tactile Graphics 2008 if payment is not made prior to the event.

3. RNIB endeavours to run the conference as advertised. However we reserve the right to alter the conference, content, timings or speakers at any time without any liability for any costs or losses whether direct or indirect. RNIB shall not offer refunds to participants if the conference is altered. However if the conference is cancelled RNIB will retain up to 50% of the conference fee to cover marketing, administration and delegate registration costs.

4. RNIB shall not be liable for any loss or damage in the event of the conference being cancelled or altered for reasons which may include but are not limited to Acts of Nature (including flood, earthquake, storm, hurricane or other natural disaster), fire, war, invasion, act of foreign enemies, hostilities (whether war is declared or not), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalisation, government sanction, blockage, embargo, labour dispute, strike, lockout or interruption or failure of electricity.

5. All participants must comply at all times with the rules and regulations of the venue which will be available from the hotel.

6. Conference participants are responsible for taking appropriate insurance cover in connection with their attendance at the conference.

Cancellation Policy

7. All cancellations must be made in writing to Tactile Graphics 2008 Team, RNIB, 58-72 John Bright Street, Birmingham, B1 1BN, UK or by email to TactileGraphics2008@rnib.org.uk. All cancellations will be given a cancellation reference number as confirmation and the cancellation will only be effective once this cancellation reference number has been received by the delegate.

8. Cancellations received by RNIB prior to 12 November 2008 will incur a £35 cancellation charge per delegate to cover administrative costs, which will be deducted from any refunded conference fees already paid.

9. If a cancellation is received after 12 November 2008, or the participant fails to attend, the full event fee is payable.

10. You may substitute an alternative participant at any time with no additional charges by emailing TactileGraphics2008@rnib.org.uk. All substitutions and cancellations will be issued with a reference number as confirmation. Note: Telephone substitutions or cancellations will not be accepted.

Amending Your Details

11. Each participant will receive a unique Delegate ID Number upon booking. Should you need to amend any of the details please contact us in writing (Email or post) quoting your unique Delegate ID Number. Any changes will then be confirmed with the participant.

Visa Policy

Tactile Graphics 2008 is an international conference and we welcome visitors from all over the world.

12. If you wish to attend Tactile Graphics 2008 and need a visa to enter the country, you may require a letter of invitation from us. Due to the amount of time it takes to get a visa, invitation letter requests must be made by 1 August 2008, none will be accepted after this date.

Please note: an invitation letter will not be issued until your payment for the conference has been received.

You can apply for a letter of invitation by taking the following steps:

a) Book your place using the on-line booking form
b) Write to our postal address (FAO Visa Administration) on your organisation's headed paper, requesting a visa invitation, clearly stating what your organisation does and why you have an interest in the conference. Indicate the name and job title of the person who wishes to attend the conference and include the address of your embassy
c) Pay the invoice we send to you as soon as possible so we can reserve a conference place for you. Once we have received your payment, we can process your application
d) We will then send your invitation letter to your Embassy for collection as letters cannot be sent to individuals

13. If at any time you find that you will not be able to attend the conference please contact us immediately. International participants are subject to the same cancellation policy as outlined above

Accommodation

14. Conference fees do not include accommodation costs, it is the responsibility of participants to arrange their own accommodation if required. Additional accommodation information is available on the accommodation page of the conference website.
